Maintenance Coordinator

The primary function of the Maintenance Coordinator position is to coordinate the administrative functions of the Maintenance Department and assist with coordinatingscheduled maintenance and repairs of company owned and leased equipment. The Maintenance Coordinator will receive, prioritize and create electronic work orders for mechanics and assist in monitoring workflow in the TMT maintenance software system. Individual will perform a wide variety of administrative tasks assisting management in the execution of duties. The position requires professional communication, computer and customer service skills. Position represents the Company in a positive image with employees, customers and the community, always performing in a safe and ethical manner.


Requirements


ESSENTIAL DUTIES AND RESPONSIBILITIES 

  • Assists the Maintenance Shop Supervisor to ensure that scheduled maintenance and repairs are performed on all Benore equipment within prescribed timelines provided by the Director of Maintenance.
  • Responsible for the Customer Service desk, assisting and coordinating the internal customers and vendors while ensuring the Maintenance Department remains in compliance with CT-PAT best practices.   
  • Ensures that an accurate, professional service record for each asset is properly maintained and easily accessible for daily, weekly, monthly and semi-annual audits.
  • Generates preventative maintenance reports (PMs), prioritizes and checks equipment availability. 
  • Maintains electronic records of asset assignments within TMT software system and locates assets as needed.  Reports daily, weekly and monthly to Shop Supervisors and Associate Director and Director of Maintenance.
  • Ensures all DOT-required records are compliant and accessible including eDVIRs, repair documentation, annual inspections, etc.  Verifies all documents are completed properly by all maintenance employees.
  • Monitors work orders and repair time and reports discrepancies to the Maintenance Shop Supervisor.
  • Assists the Parts Supervisor in ordering parts as needed for both stocked and non-stocked items for emergency and after-hours purchases, enters parts into TMT software, and provides all purchasing documents to the Parts Supervisor to audit the record in TMT software.
  • Follows Benore Maintenance Department purchasing processes: assigns purchase order numbers, verifies and receives parts, and ensures all documents are accurate.
  • Ensures all parts are properly charged out to the correct unit number in a timely manner and maintained electronically.
  • Assists in ongoing inventory of all parts at a local domicile.  Assists the Parts Supervisor with weekly cycle counts and quarterly inventory counts. 
  • Required to attend and complete all company developmental, safety and compliance training.
  • Required to adhere to all BLS policies, procedures, DOT and OSHA safety rules and regulations.

 

QUALIFICATIONS/EDUCATION & EXPERIENCE

High school diploma or equivalent is required; 1-3 years experience in a maintenance administration role is preferred.  Excellent data entry skills are required.  Experience with industry specific software programs is preferred.

CERTIFICATIONS / SPECIAL SKILLS REQUIRED

Must possess and demonstrate excellent computer skills: highly proficient in Microsoft Office software, i.e. Word, Outlook and Excel.  Must demonstrate the ability to learn industry specific software and possess strong data entry skills.  Must possess strong interpersonal skills and good communication skills, both written and oral.  Must demonstrate strong customer service skills to internal and external customers in person and on the phone.  Must be able to manage multiple tasks and projects. Process efficiency skills and organizational skills are required.
