Parts Specialist

Job Summary

Sells parts to all customers, over the counter, through the shop, or on the phone.

 

Major Areas of Responsibility  

Be in the building and at your computer ready to work when shift begins.

Work with a sense of urgency and adjust intensity as required.

Locate special order parts after properly researching to determine if they have been pre-paid or not.

Locate normal stock parts as needed (Shipping/receiving person out).

Complete ASR estimates, taking the time to thoroughly read through the estimate and ask appropriate questions to add the correct parts.

Answer phone calls from ASM’s and outside customers, making sure to follow up on those calls.

Communicate with ASM’s and technicians immediately when parts are out-of-stock, with B/O concerns, and price discrepancies.

Communicate with Parts Manager of inventory discrepancies.

Add notes to counter tickets and repair orders that communicate origin of parts and ETA of delivery.

Continuously monitor emails, order parts as needed and communicate parts availability.

Perform daily bin checks specified by Parts Manager.

Maintain a safe and clutter-free workspace.

Take parts out to technicians when time permits.

Use down time to be proactive – make valuable use of time.

Complete required training modules for Toyota certification.

Routinely go through and clean-up open invoices (2247) and open PO’s (2741).

Post and locate B/O releases from UPS and FedEx.

Continually go through parts staging shelf removing what is completed and communicate with ASM’s on parts with open repair orders.

Go through open orders in Reynolds daily, appropriately canceling orders that are no longer needed.

Communicate backorder ETA’s with ASM’s and ensure appropriate action on open wholesale orders. 

Required Knowledge, Skills, and Abilities 

Associate's degree or equivalent from two-year college or technical school and one-year related experience; or equivalent combination of education and experience.

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

 

Required Certificates, Licenses, Registrations

Valid Driver’s License

 

Physical Demands

While performing the responsibilities of the job, the employee is required to talk and hear. The employees is often required to sit, stand, walk, reach with arms and hands, and use their hands and fingers, to handle or feel. The employee is occasionally required to climb or balance, and to stoop, kneel, crouch or crawl. Vision abilities required by this job include close vision.  Employee is required to lift up to 50 pounds.

 

Work Environment

While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts and vehicles. The noise level in the work environment is usually quiet to moderate.
