Service Warranty Administrator
The Automotive Warranty Administrator is responsible for processing warranty claims, ensuring compliance with manufacturer and dealership guidelines, and maintaining accurate records. This role acts as the liaison between the service department, parts department, and manufacturers to ensure prompt and accurate warranty claim submissions and reimbursements.
Key Responsibilities:
Review and verify repair orders and warranty documentation for accuracy and compliance.
Prepare, submit, and track warranty claims to manufacturers or third-party warranty providers.
Ensure timely follow-up on outstanding claims and resolve denials or discrepancies.
Maintain up-to-date knowledge of factory policies, procedures, and claim submission standards.
Communicate effectively with technicians and service advisors to clarify and document warranty repair information.
Manage and reconcile warranty payments, credit memos, and dealer statements.
Maintain organized records of submitted claims, supporting documentation, and reimbursements.
Ensure adherence to company and manufacturer audit requirements.
Support service department personnel with warranty-related questions or training.
Perform other administrative duties as assigned.
Qualifications:
High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
Previous experience in automotive warranty processing or service department administration preferred.
Strong knowledge of dealership service operations and manufacturer warranty systems.
Excellent attention to detail, organizational, and time-management skills.
Proficiency in dealership management systems (DMS) such as Reynolds & Reynolds, CDK, etc.
Strong communication and customer service skills.
Ability to work independently and handle multiple priorities in a fast-paced environment.
Work Environment & Physical Requirements:
Primarily office-based with frequent interaction with service and parts departments.
May require occasional lifting of files or office supplies (up to 25 lbs).
Fast-paced dealership environment with deadlines and shifting priorities.
